Use OneDrive for Office Apps and Files

Getting Started with OneDrive & Online Office Apps

Quincy Public Schools is moving toward using OneDrive and the online versions of Word, Excel, and PowerPoint instead of saving files on your H: drive or using desktop apps. This makes your files accessible from any device (Windows, Chromebook, home, or school).


✅ Step 1: Open Office Apps (OneDrive)

  1. Go to portal.qps.org
  2. Click “Office Apps (OneDrive)”

➡️ This takes you directly to your Microsoft 365 home.


✅ Step 2: Sign In

If prompted:

  • Enter your school email address
  • Enter your password

You’ll then see your Microsoft 365 dashboard.


✅ Step 3: Access Your Files

From the dashboard:

  • Click My Files to see all your files

  • Think of this as your new “H: drive”

✔ Files are automatically saved
✔ Accessible from any device
✔ No need to manually back up


✅ Step 4: Create or Open Files

You can create new files directly in your browser:

  • Click Create or Upload

  • Choose:
    • Word document
    • Excel workbook
    • PowerPoint presentation

To open existing files:

  • Just click the file name

➡️ Files open in the online version of Office


✅ Step 5: Editing & Saving

  • Changes save automatically
  • No “Save” button needed
  • Multiple people can edit at the same time

✅ Step 6: Upload Existing Files

To move files from your computer or H: drive:

  1. Open OneDrive
  2. Click Upload
  3. Choose your file(s)

➡️ You can also drag and drop files into OneDrive


✅ Step 7: Share Files

To share with coworkers:

  1. Select a file
  2. Click Share
  3. Enter their name or email

✔ No more emailing attachments
✔ Always working on the latest version


💡 Tips for Success

  • Use OneDrive for all new documents
  • Avoid saving to the H: drive or Desktop
  • Bookmark OneDrive or access it daily from portal.qps.org
  • Use online apps unless you specifically need advanced features

❓ What About Desktop Apps?

You may still have access to desktop versions of Word, Excel, etc., but:

  • Files should live in OneDrive
  • Desktop apps can open/save directly to OneDrive if needed
